Law firms run on information — case details, document trails, court dates, client updates, and internal tasks — and most of that information is scattered across folders, emails, and memory. We built a management platform that brings everything under one roof, for both the legal team and the clients they serve.

For the Law Firm

The internal platform gives legal teams a single workspace for everything they manage:

  • Case management — every active and archived case lives in the system with its full history: parties involved, case status, assigned lawyers, linked documents, and a complete activity log
  • Paperwork & document control — all case-related documents are stored, organised, and accessible within the case record — no more searching through email threads or shared drives
  • Calendar & deadline management — a firm-wide calendar surfaces every upcoming hearing, filing deadline, client meeting, and internal task, with alerts that notify the right people before something is due
  • Alert system — automated notifications keep lawyers and administrators aware of approaching deadlines, status changes, and pending actions without manually checking the system

For the Client

Clients get their own dedicated portal — a separate, secure window into their own matters only. Instead of calling or emailing to ask for an update, a client logs in and sees exactly where their case stands, what has happened recently, and what is coming next.

  • Real-time case status — clients see the current stage of their case and a timeline of recent activity
  • Document visibility — relevant documents shared by the firm appear directly in the client portal
  • Alerts & notifications — clients are notified when their case moves forward, when a document is shared, or when a hearing date is set

The Result

The firm operates without information falling through the gaps. Clients feel informed and in control without generating work for the legal team to answer their questions.

How It Was Built

Our process

Workflow Analysis

Mapped how the law firm currently operates — how cases are opened, how documents are filed, how deadlines are tracked, and how clients are kept informed. Interviewed lawyers, administrators, and clients to understand the pain points on every side of the operation before designing anything.

02 .
Information Architecture

Structured the platform around the case as the central object — everything else (documents, tasks, deadlines, client communications) is linked to a case record. Defined the permission model that separates what internal staff see from what clients can access.

03 .
Internal Platform Development

Built the case management workspace, document system, calendar, and alert engine for the legal team — with a role-based structure that gives lawyers access to their assigned cases, administrators a full firm overview, and senior partners visibility across all activity.

04 .
Client Portal Development

Built the client-facing portal as a completely separate, secure interface — showing only the client's own cases, the status timeline, shared documents, and notifications relevant to them. Designed for non-technical users who need clarity, not complexity.

05 .
Alert & Calendar Engine

Built the deadline and alert system — configurable notification rules that trigger at set intervals before key dates, route to the right staff members based on case assignment, and simultaneously push relevant updates to the client portal.

decisions we made.

The Client Portal Changes Everything

In most law firms, client communication is a constant drain on staff time — calls and emails asking for updates that someone has to stop and answer. The client portal eliminates most of those requests by making the answer always available. The design had to be simple enough for any client to use without guidance — legal clients are not a homogeneous group, and many are dealing with stressful situations where the last thing they need is a confusing interface.

Deadlines Are Not Optional

In legal work, a missed deadline is not an inconvenience — it can be catastrophic for a case and a career. The calendar and alert system was designed with this weight in mind. Alerts escalate — a deadline approaching in two weeks is a notification; the same deadline in 48 hours is an urgent flag that reaches every relevant person. The system assumes people are busy and builds in redundancy.

One Source of Truth

The biggest operational problem in law firms is not any single missing feature — it is that information lives in too many places. A case detail in one person's email, a document in another's folder, a deadline on a physical calendar. The platform was designed to make it easier to record something in the system than outside it — so over time, the system becomes the natural place everyone goes, rather than a secondary tool that competes with existing habits.
