Industrial Operations, Fully Digitised

The Najaf Oil Refinery runs complex, high-stakes operations where internal documentation is not a bureaucratic formality — it is a critical part of how work is authorised, tracked, and kept safe. We built a digital workflow system that replaces the refinery's paper-based processes with a structured, auditable, and fully digital operation.

The Scale of the Problem

An oil refinery generates an enormous volume of internal documents — maintenance work orders, operational reports, procurement requests, safety permits, inspection records, and inter-department correspondence. Each document type follows its own approval chain, passes through multiple hands, and needs to be reliably stored and retrievable. Managing this on paper at industrial scale means delays, lost documents, and no visibility into where anything stands.

What We Built

A centralised digital workflow platform tailored to the refinery's internal structure:

  • Digital document creation — employees create documents from structured templates covering every document type the refinery uses, replacing handwritten and typed paper forms
  • Multi-step approval chains — each document type routes automatically through its defined approval hierarchy — supervisor, department head, director — with the next person notified the moment the previous step is completed
  • Digital signatures — authorised personnel sign documents digitally at each approval stage, with full authentication and timestamp records
  • Cross-department routing — documents that need to move between operational, engineering, safety, procurement, and administrative departments do so instantly, with no physical movement required
  • Full audit trail — every action on every document is permanently logged — creation, review, signature, routing, and archival — meeting the compliance and traceability standards an industrial operation demands

Operational Impact

Approval cycles that previously took days of physical document movement now complete in hours. Department heads have a real-time view of every document in their queue. Nothing is lost, nothing is delayed by someone being away from their desk, and the full history of any document is retrievable in seconds.

How It Was Built

Operational Audit & Document Mapping

Conducted a thorough audit of the refinery's existing paper workflows — cataloguing every document type, its purpose, who creates it, who approves it, in what order, and where it goes after final sign-off. The complexity of an oil refinery's internal operations made this mapping phase critical — no two document types follow the same path.

02 .
Workflow Engine Design

Designed a configurable workflow engine capable of handling the full range of the refinery's document types — each with its own routing logic, approval hierarchy, branching conditions, and archival requirements — without hardcoding any specific process into the application.

03 .
Digital Signature Integration

Integrated a digital signature solution meeting the authentication and legal validity standards required for an industrial operational environment — tied to verified user identities, timestamped, and permanently attached to the document record.

04 .
Platform Development

Built the full system — document builder, workflow engine, department workspaces, signature flow, approval queues, and admin control panel — structured around the refinery's actual organisational hierarchy and operational departments.

05 .
Migration & Deployment

Worked with refinery administrators to establish digital templates for all existing document types, configure the workflow rules for each, and onboard department staff at every level — from field employees creating documents to directors authorising final approvals.

Industrial Compliance Is Non-Negotiable

In an oil refinery, document integrity is tied directly to operational safety. A work permit that cannot be verified, a maintenance authorisation with no audit trail, or an approval that cannot be proven — these are not administrative inconveniences, they are compliance failures with serious consequences. The audit trail and digital signature system were designed to the standard of the refinery's regulatory environment, not to a general enterprise software standard. Every record is immutable, every action is attributed, and the full history of every document is permanently retrievable.

Designing for an Industrial Workforce

The users of this system range from engineers and technicians in operational areas to administrative staff and senior directors in office environments. The interface had to work for all of them — including users accessing the system from a workstation in a control room or a shared terminal on the floor. Simplicity of task completion was the primary design goal: an employee creating a maintenance work order should be able to do it in minutes without training, and a supervisor approving it should be able to review and sign in seconds.
